The Garage — your customer and vehicle records — is where every person who has ever contacted your studio and every car you’ve ever touched lives. Customers appear here automatically the moment they chat, text, submit a form, or book an appointment. Vehicles are created when a quote references them or when you add one manually. No CRM setup, no imports — the Garage fills itself in as you work.

The customer list

Open Garage from the sidebar to see every customer. The list shows each person’s name, their vehicles, total estimated value, appointment count, and last activity. Tags highlight what matters: Returning, High-value, Opted out, and dots for customers who owe a review or have a recall due.

Find a customer

1

Search or filter

Type a name, phone number, or email in the search bar. Or use the segment tabs at the top — All, Returning, High-value, and more — to filter the list.
2

Open the record

Click any customer to open their detail panel.

What’s in a customer record

The detail panel shows everything Kordless knows about this person, in one glance:
  • Identity — name, phone, email. Click Edit to correct a name or merge a duplicate.
  • Agent notes — notes you write that the agent uses as context when talking to this customer. Add details like “prefers text over email” or “asked about ceramic coating for his wife’s car too.”
  • Garage — this customer’s vehicles, each with its own quote and job history. Click Full record on any vehicle to open its dedicated page.
  • Timeline — a merged chronological feed of every interaction: quotes, appointments, conversations, and form submissions.

Add a vehicle to a customer

When a returning customer brings a new car, add it to their Garage:
1

Open the customer

Find and click the customer in the list.
2

Click Add vehicle

The button appears under the Garage section.
3

Enter the vehicle details

Fill in the year, make, and model at minimum. You can also add VIN, plate, color, and size class.
4

Save

Click Add.
You’re taken straight to the new vehicle’s full record page, where you can add film batches, warranties, and delivery photos.

Customer actions

From the detail panel you can also:
  • Book again — create a new appointment for this customer, pre-filled with their info
  • Request review — send a review request through the agent
  • Message — open the inbox thread with this customer
  • Merge — combine a probable duplicate into one record
  • Forget — permanently delete a customer and their data (irreversible)
Forget customer is irreversible. It removes the customer, their vehicles, quotes, and conversation history. Use it only for data-privacy requests or test data cleanup.

Export customers

Click Export to download your customer list as a CSV. You can export all customers or filter by segment first — useful for a mailing list or a reactivation campaign.

The vehicle record

Each vehicle has its own page at Garage → vehicle → Full record. This is the operational heart of the Garage: the complete lifecycle of one car, from the first quote to the latest recall.

What’s on the vehicle page

  • Identity — year, make, model, VIN, plate, color, size class. Click any field to edit.
  • Owner — the customer who owns this vehicle, with their contact info.
  • Lifecycle — a computed status that summarizes where this vehicle is in its relationship with your shop: active job, under warranty, recall due, lapsed, and so on.
  • Jobs — every quote that references this vehicle, in reverse chronological order. Each shows the state (quoted, deposited, completed, expired, declined), the quoted price range, the final invoice amount, delivery date, and booking status. Check-in photos and delivery photos are attached when available.
  • Film batches — every film or coating installed on this vehicle: category (PPF, ceramic, tint, other), brand, product, batch lot number, coverage area, install date, and warranty term.
  • Warranties — registered warranties with provider, plan, registration ID, term, start and expiry dates, status, and linked document.
  • Recalls — any due, approved, or snoozed recall for this vehicle, with the service label and relative due date.
  • Timeline — a merged chronological feed of every event on this vehicle: quotes, film installs, warranty registrations, and recalls.

Record a film batch

After installing film or coating, record the batch so you have a traceable record for warranty claims:
1

Open the vehicle record

From the Garage, find the customer, then click Full record on the vehicle.
2

Add a film entry

In the Films section, click Add film.
3

Enter the details

Select the category (PPF, ceramic, tint, or other). Enter the brand, product name, and batch lot number from the roll or bottle. Add the coverage area and install date. Set the warranty term in months if applicable.
4

Save

Click Save.
The film batch appears in the Films section and on the timeline. You can edit or remove an entry at any time — click the film entry to edit, or the trash icon to remove it.

Register a warranty

When you register a warranty with a film manufacturer or coating brand, record it on the vehicle:
1

Open the vehicle record

Navigate to the vehicle’s full record page.
2

Add a warranty

In the Warranties section, click Add warranty.
3

Enter the details

Fill in the provider, plan name, registration ID, term in months, and start date. The expiry date is calculated from the term. If you have a registration document URL, add it.
4

Set the status and save

New warranties start as Registered. Once the manufacturer confirms, set it to Active. Click Save.
The warranty appears in the Warranties section with its status badge. You can update the status at any time — Registered, Active, Expired, or Void. The expiry date shows a relative label like expires in 10 months so you can see at a glance what’s still covered.
Set the warranty status to Void. A void warranty stays on the vehicle’s record for traceability but no longer shows an expiry label. If the warranty was registered in error, you can remove it entirely with the trash icon.

Save delivery photos

After completing a job, attach delivery (after) photos to the quote so the condition record is complete:
1

Open the vehicle record

Find the vehicle and open its full record page.
2

Find the completed job

In the Jobs section, locate the completed quote.
3

Upload delivery photos

Upload or paste the photo URLs. Up to 24 photos can be attached per job.
Delivery photos appear alongside the check-in (before) photos, giving you a complete before-and-after record for warranty disputes or marketing.

How the Garage connects to the rest of Kordless

  • Quotes — every quote in the Quote Desk references a vehicle in the Garage. When a new customer’s first quote goes out, the vehicle is created automatically.
  • Bays — when a customer pays a deposit and books a slot, the appointment lands on your Bays and the vehicle gets its record here.
  • Recalls — when a service has a recall interval (e.g., ceramic coating inspections every 12 months), the recall engine scans completed jobs and surfaces due vehicles on the Today page and on the vehicle record itself.
  • Today — the right rail’s Reviews owed and Recalls due counters pull from the Garage. Approve them in bulk from Today, or handle them one at a time here.
