Overview

The Tasks tab is your action item hub—a central place to manage all follow-ups, to-dos, and scheduled actions related to your CRM records. Never miss a follow-up by tracking tasks with due dates, owners, and links to accounts, contacts, and deals.
Tasks integrate with the rest of the CRM. Creating a task from an account or contact automatically links it. Completing tasks can trigger workflow updates.

Task Properties

Each task includes:

Creating Tasks

From the Tasks Tab

Click Add Task

Opens the new task dialog

Enter Subject

Write a clear, action-oriented subjectGood: “Call John to discuss proposal questions” Bad: “John” or “Proposal”

Set Due Date

When should this be completed?
Tasks without due dates are valid but won’t appear in overdue filters.

Link to Records

Optionally connect to:
  • Account (organization)
  • Contact (person)
  • Deal (opportunity)

Assign Owner

Who is responsible? Default is yourself.

Save

Task appears in your task list

From Other CRM Views

Tasks can be created contextually:
In the Account drawer, click Add Task:
  • Account is pre-linked
  • Creates task in context of that organization
  • Appears in account’s Tasks section

Task Status Workflow

Tasks move through these statuses:

Status Descriptions

StatusWhen to Use
TodoTask created but not started. Default for new tasks.
In ProgressActively working on this task
CompletedTask finished successfully
CanceledTask no longer needed (scope change, duplicate, etc.)

Quick Status Updates

  • Mark Done: One-click to toggle between Todo and Completed
  • Edit: Open task to change to any status
  • Bulk Update: Select multiple tasks and change status at once

Filtering & Searching

Filter Options

Status Filter

Show tasks by status:
  • All Statuses
  • Todo
  • In Progress
  • Completed
  • Canceled

Account Filter

Show tasks for specific account:
  • All Accounts
  • Select specific organization

Owner Filter

Show tasks by assignee:
  • All Owners
  • Specific team member
  • My Tasks (your assignments)

Search

Text search across:
  • Subject
  • Description
  • Account name
  • Contact name

Common Filter Combinations

  • Status: Todo
  • Owner: (Your name)
Shows your incomplete tasks

Task Table

The task table shows:

Sorting

Click column headers to sort by:
  • Subject (alphabetical)
  • Due Date (chronological)
  • Status
  • Account
  • Contact

Bulk Operations

Select multiple tasks using checkboxes to:

Bulk Update Status

Change status for all selected tasks:
  • Mark all as Completed
  • Mark all as In Progress
  • Cancel all selected

Bulk Delete

Delete all selected tasks (with confirmation)
Deleted tasks cannot be recovered.

How to Bulk Update

Select Tasks

Check the checkbox for each task you want to update.Use the header checkbox to select all visible tasks.

Choose Action

Once tasks are selected, bulk action buttons appear:
  • Update Status: Dropdown with status options
  • Delete: Remove selected tasks

Confirm

Status changes apply immediately. Delete requires confirmation.

Export

Click Export CSV to download task data:

Best Practices

Start with a verb for clarity:Good:
  • “Call Sarah about project timeline”
  • “Send updated proposal to Acme Corp”
  • “Schedule follow-up meeting”
Bad:
  • “Sarah”
  • “Proposal”
  • “Meeting?”
  • Don’t leave due dates blank if timing matters
  • Add buffer for dependencies
  • Review and adjust if priorities change
  • Don’t set everything for “today”
Start each day by:
  1. Filtering to your Todo tasks
  2. Sorting by Due Date
  3. Completing or rescheduling overdue items
  4. Planning what to tackle today
Create a task whenever you commit to something:
  • “I’ll call you tomorrow” → Task
  • “Let me send that document” → Task
  • “We’ll follow up next week” → Task
If you said you’d do it, track it.
Don’t let tasks linger:
  • Done? Mark as Completed
  • No longer needed? Mark as Canceled
  • Not possible? Cancel with note in description
A clean task list is an accurate task list.

Task Views in Other CRM Sections

Tasks appear in multiple places:

Account Drawer

The Tasks tab in an account drawer shows:
  • All tasks linked to that account
  • Ability to add tasks directly
  • Quick status updates

Contact Detail

The contact profile includes:
  • Tasks linked to this contact
  • Task creation pre-linked to contact
  • Activity timeline shows task completions

Deal Context

Tasks related to deals help track:
  • Sales follow-ups
  • Proposal actions
  • Contract next steps
